What a garden room quote should include
Garden room quotes go wrong in two predictable places: the ground under the base, and the spec of the glazing and cladding on show. Get those two right and the rest of the build prices cleanly. A good garden room quote fixes the visible work firmly and handles the ground conditions honestly, so the customer is not surprised and you are not out of pocket.
- Your business and registration. Trading name, address, contact, and your VAT number if registered. Name your registered electrician for the supply run.
- The customer and the site. Their name and the property address, plus access for a digger, mixer or delivery.
- A specific scope. Base and groundworks, timber frame structure, insulation to walls, roof and floor, cladding, roofing, glazing, electrics and internal finish.
- Labour and materials. Days by your rate, plus concrete or ground screws, timber, insulation, cladding, roof membrane, windows and doors named where it helps the customer trust the price.
- VAT. If registered, subtotal, 20% VAT and total. If not, say so.
- Timeline. Days on site and the order of trades, since groundworks, frame and glazing usually run in sequence.
- Payment terms. When you expect payment and any deposit against ordered windows, doors and cladding.
- Exclusions. Decking, landscaping, mains connection beyond an agreed point and planning fees are often excluded. Say so clearly.
- Validity period. "Valid for 30 days" so a glazing price does not follow you around after supplier costs move.

The mistakes that cost garden room builders money on a quote
- Pricing a base before you know the ground. Soft ground, a slope or a high water table can turn a simple slab into ground screws or piled foundations. Price the base carefully and add a clear variations line.
- Leaving the glazing and cladding spec loose. Cedar, composite and render sit at different prices, and bi-fold doors vary hugely by size and make. State the exact spec so the customer is not comparing your quote against a cheaper material.
- Not saying who does the electrics. A supply run is notifiable under Part P and needs a registered electrician. Name whether it is in your price or by others.
- Ignoring permitted development limits. Size, height and use can push a build into a planning application. Do not promise a timeline that assumes permitted development when the site may not qualify.
- Assuming decking and landscaping are in. Steps, a deck, paths and making good the garden are easy to leave out. Exclude them plainly or price them as a separate line.
- Confusing a quote with an estimate. A quote is a fixed price. An estimate can move. Label the document as one, never both. See quote vs estimate.
Should a garden room builder send a quote or an estimate?
For a defined build, an insulated garden room to an agreed size and spec on ground you have assessed, quote it firmly. Where the ground is unknown until you dig, or the customer has not settled on cladding and glazing, an estimate with a firm quote to follow is the honest approach.
